Element 4.1.1: Organisation of educators
The organisation of educators across the service supports children’s learning and development.
If an A & R Officer walked into your service right now would your educator-to-child ratios be compliant and would the roster and mix of experience support children’s learning and development?
Can you provide evidence that the numbers and ratio of educators rostered at the beginning and end of the day are:
- facilitating effective communication with families at drop off and pick up times?
- supporting adequate supervision of children?
- offering children meaningful opportunities to engage with educators while rooms are set up or packed away?

A staff roster is not sufficient proof as a record of adequate supervision as it does not take into account any adjustments made during the day.
Maintaining adequate supervision of children at all times is critical. Although staff ratios may be met, this does not always mean that adequate supervision is provided for particular activities.
Additional educators may be required when children are engaged in particular activities to ensure adequate supervision is provided. For example: water play, working with tools or climbing activities.
Within System7 go to QA4 / Module 1 to submit your self-assessment notes and if required, open a QIP issue. This area has further suggestions in respect of rosters, relief educators, educator to child ratios and additional staffing requirements.
The Childcare Centre Desktop has a detailed Human Resource area which includes job descriptions, recruitment and performance management modules. They also can provide related policies for supervision, staffing arrangements, code of conduct and staff wellness.
